Processing a Return on an Order

INITIATING THE RETURN

VERIFY THAT THE ORDER HAS BEEN SHIPPED

You cannot create a return on an order that has not been indicated as shipped in the order interface. If the order does not indicate that the order was shipped, please contact your administrator.

 

RETURNING AN ENTIRE ORDER

Find the line item in the 'Order Activity' section that has a 'Return all' and 'Return part' button.

If the customer is returning all items, click 'Return all'. (currently there's a bug that requires you click it twice)

A new line item is created that contains a 'Receive' button.

NOTE: A refund should not be issued until the product has been recieved from the customer.

 

RETURNING A PARTIAL ORDER

If the customer is returning part of the order, click 'Return part'.  (currently there's a bug that requires you click it twice)

You'll be taken to a new screen where you can enter the number of each item to be returned.

Once the quantities have been entered, click 'Create return'.

A new line item with a return invoice will be created in the 'Order Activity' section. The line item will indicate 'returning' and will also contain a 'Receive' button.

NOTE: A refund should not be issued until the product has been recieved from the customer.

 

RECEIVING THE ITEM
 

Once the item has been received by the warehouse, edit the order and click 'Receive' in the 'Order activity' section. A new line item  indicating 'Returned' will be created, and the item will be returned to inventory in TradeGecko. You can now issue a refund using the 'Refund' button that appears on that line item.

ISSUING A REFUND

In the 'Order Activity' section, find the line item that indicates 'Returned', and click the 'Refund' button. Alternatively you can click the 'Payment' tab at the top of the order. Click 'Credit' from the options on the right. Enter the amount to be credited back to the customer, select the return invoice from the dropdown below, then click the 'Credit' button.
 

NOTE: Refunds should not be issued until the item is received back into inventory. If no product is to be returned, then a credit to the account should be issued instead.
